Within two (2) weeks of the conclusion of the season, the head coach is responsible for completing and submitting a Letter Award Petition Formto the Manager of Equipment Operations. The form will indicate the names of the student-athletes who earned letters through the course of the academic year. The head coach must validate the number of years each student-athlete has earned a letter award. A copy of the form must be provided to the Compliance Office.
Prior to providing any year end awards to student-athletes, the head coach must complete a Student-Athlete Participation Awards Form and return it to the Compliance Office. Student-athletes are limited to the amount and value of awards that the institution may provide. Figures 16-1, 16-2, and 16-3 of Bylaw 16 outline the award limitations.

A student-athlete or an entire team may receive an occasional meal in the locale of the institution from an institutional staff member. A representative of athletics interest may provide a meal on infrequent and special occasions provided the meal occurs in the individual's home (but may be catered). A representative of athletics interest may provide transportation to attend the meal function only if the meal is at the home of that representative.
Family members of student-athletes may be provided reasonable food and drinks on an occasional basis by the institution only. Friends and other relatives of student-athletes may not receive such a benefit.
Prior to providing an occasional meal or refreshment, the Occasional Meal Request Form must be filled out and filed with the Compliance Office. The person requesting the meal, the coach of the student- athletes receiving the meal (if different), and the Athletics Business Office will be notified if the meal is approved.
Home Athletics Event The administrative process for complimentary admissions is conducted through the online ticketing system. The online system can be accessed by clicking the guest management link under the tickets tab located at www.pacifictigers.com. Both student-athletes and coaches must use the online system to sign up permissible guests to for complimentary admissions to a regular season home athletics event.
Each student-athlete is permitted up to four complimentary admissions. Complimentary admissions for full-time head and assistant coaches and directors of operations are subject to limitations imposed by the Department of Athletics. Volunteer coaches may receive up to two complimentary tickets to a home athletics event in the coach's sport. Graduate and undergraduate assistant coaches are permitted up to four complimentary tickets to a home athletics event. No hard tickets may be issued to a student-athlete, undergraduate assistant coach, or their relatives and/or friends.
The Ticket Office will be responsible for issuing pass lists to the home events. The Compliance Office will periodically monitor the pass lists to make sure the complimentary admissions issued are in compliance with NCAA rules and regulations.
Post-Season Athletics Event Student-athletes are permitted up to six complimentary tickets to a post-season athletics event (e.g., West Coast Conference Championships, NCAA, NIT, etc). The complimentary admissions must be issued through a pass list. In accordance with West Coast Conference rules, the Compliance Office must review the pass list and notify the Box Office of the approval before the admissions can be issued.
Prior to departing on any road trip, a list of the entire travel party and the itinerary should be sent to the sport supervisor, the administrative assistant to the Director of Athletics, and the administrative assistant to the Associate Director of Athletics for Student-Athlete Services & Compliance.
If any student-athlete is permitted to leave the travel party and travel back to campus with family and/or friends, a Student-Athlete Travel Release Form must be signed by an administrator prior to leaving campus. The student-athlete's parent/guardian must sign the form either before the student- athlete leaves campus, or on the road before the student-athlete leaves the travel party. If the student-athlete will be leaving the travel party with someone other than a parent, the student- athlete's parents must sign the form.

Student-athletes may retain athletic apparel and equipment at the end of the individual's intercollegiate participation. Athletic shoes are considered apparel for the purposes of retention. Student-athletes may retain shoes if they are no longer usable after intercollegiate athletic participation.
In addition, a student-athlete may retain and use institutional athletics equipment during a summer vacation period on a check-out basis.
The NCAA student-athlete opportunity fund was created to provide direct benefits to student-athletes. Monies from the fund may not be used to finance salaries, grants-in-aid (other than summer school) for student-athletes with remaining eligibility, capital improvements, stipends and outside athletics development opportunities for student-athletes (e.g. participation in sports camp/clinic, private instruction, green fees, batting cage rental, outside foreign tour expenses). Any student-athlete wishing to obtain money from the opportunity fund must complete the form and get approval from the Associate Director of Athletics for Student-Athlete Services & Compliance. Examples of approved uses include medical insurance or course fees.
The Special Assistance Fund is available for student-athletes with a special financial aid need. The Special Assistance Fund is typically used for medical insurance or course fees. Similar to the Opportunity Fund, student-athletes must complete the Special Assistants Fund Form and get approval from the Associate Director of Athletics for Student-Athlete Services & Compliance.
Student-athletes will be reminded of the employment policy during the compliance meeting and will be required to affirm their understanding of employment procedures. Additionally, student-athletes will be asked to complete the Student-Athlete Employment Verification Form. Information will include name and contact information, name of employer and their contact information, hourly wage, and anticipated weekly hours according to NCAA Bylaw 12.4.1.
Student-athletes may not accept any benefit not available to all students unless NCAA rules allow. Such impermissible benefits may include free or reduced cost services, meals, rides, medical or dental work, financial aid, living expenses, etc. Any question about whether a student-athlete is permitted to receive a benefit should be directed to the Compliance Office. In addition, NCAA legislation prohibits the parents, relatives or friends of a student-athlete from receiving financial aid or other benefits directly from or arranged by a Pacific staff member, coach, student-athlete or booster. Specifically prohibited financial aid, benefits and arrangements include, but are not limited to, the following:
Intercollegiate staff members are also subject to the extra benefit legislation. No student-athlete with eligibility remaining may live, on or off campus, with any intercollegiate athletics staff member including graduate assistant or volunteer assistant coaches. Student-athletes renting a house or an apartment from athletics staff members will be considered on a case-by-case basis. Student-athletes are also not permitted to use department equipment such as fax machines or copiers unless approved by an administrator and it is for academic purposes.
High school and junior college coaches are likewise subject to extra benefit legislation. No coach of prospects may be reimbursed or provided any kind of benefit by the institution, except for two (2) complimentary admissions to a home contest.
In addition, in the sport of men's basketball, during a two-year period before a prospective student-athlete's anticipated enrollment and a two-year period after the prospective student-athlete's actual enrollment, an institution shall not employ (or enter into a contract for future employment with) an individual associated with the prospective student-athlete in any athletics department non-coaching staff position.
To avoid a violation of a student-athlete receiving an extra benefit, any donations to a Pacific Athletics program by an outside source must be documented as a gift-in-kind with University of the Pacific's Business Office. The coach of the program receiving the gift must fill out the Athletics Gift Report Form and turn it into the Athletics Business Office. An example of a gift-in-kind that must documented would be if a booster donates snack items for competitions or road trips.
